Who we are. Ordinges Lodge No. 6866 (Worthing) is responsible for the details you give here.

What we keep. Your name, Masonic title, email address, the office you hold in the lodge, your phone number if you give it, and when you last signed in. Your password is handled by our sign-in provider; lodge officers never see it.

Why. Only to run lodge membership: to check you're a member of Ordinges Lodge, give you access to the members' area (lodge business and minutes), fill in your festive board bookings and plan the seating. We rely on our legitimate interest in running the lodge for its members. We never sell your details or use them for marketing, and we don't share them outside the lodge except with the service providers below.

Where it's stored. Accounts are held by Netlify (our website host, Netlify Identity), which may store data in the USA under UK data-transfer safeguards. When you register, the Secretary is sent an email with your name, title, email, office and phone so they can approve you. Event emails. If you tick “Email me new events”, we email you once about each new meeting, festive board or social event. These emails are sent through Brevo (Sendinblue SAS, France), which receives your name and email address only to deliver them. Every email has a one-click unsubscribe link, and you can untick the box on your profile at any time.

How long. While you're a member. If you leave the lodge or ask us to, we delete your account within 3 months.

Your rights. Under UK GDPR you can ask to see, correct or delete your details, or object to how we use them, by contacting the lodge Secretary or the Dining Secretary through our contact page. You can also complain to the Information Commissioner's Office (ico.org.uk).

Permanently invited guests

Draft wording: for Adam's review

Who we are. Ordinges Lodge No. 6866 (Worthing) is the controller of the details you give us as a permanently invited guest.

What we keep. Your name and Masonic rank, email address, phone number (if you give it), your lodge's name and number, your Province or District, the office you hold in your own lodge, any dietary needs, who in Ordinges invited you (if you tell us), when you registered and gave consent, and when you last signed in. Your password is handled by our sign-in provider; lodge officers never see it.

Why, and our lawful basis. To keep a record of our permanently invited guests, to email you invitations to our meetings and festive boards, and to fill in your festive board bookings. We do this with your consent (UK GDPR Article 6(1)(a)). Dietary needs can reveal information about your health or beliefs, so we only keep them with your explicit consent (Article 9(2)(a)), and we pass them to our caterer only when you book a festive board.

Who sees it. The Secretary, the Dining Secretary and the Worshipful Master, to manage invitations and seating. Invitations go out with every guest's address in BCC, so other guests can't see your email address. We never sell your details or use them for anything else, and we don't share them outside the lodge except with the service providers below.

Where it's stored. Accounts are held by Netlify (our website host, Netlify Identity), which may store data in the USA under UK data-transfer safeguards. When you register, the Secretary is sent an email with your name, rank, email, lodge and office (not your dietary needs or phone number) so they can approve you.

How long. Until you withdraw your consent, ask us to remove you, or stop being a permanently invited guest. We review the list every year and delete records within 3 months of any of these.

Your rights. You can withdraw consent at any time by unticking the box on your My details page or by contacting us; this doesn't affect anything we did before. Under UK GDPR you can also ask to see, correct, delete or move your details, or restrict or object to how we use them, by contacting the lodge Secretary or the Dining Secretary through our contact page. You can complain to the Information Commissioner's Office (ico.org.uk).
